Who this is for
Owner-operated businesses that have outgrown the shoebox-and-spreadsheet stage but don't need — and shouldn't pay for — a full-time bookkeeper. The service is built around the same trades the Vickery Finance templates already serve, so your chart of accounts and reports are shaped for your kind of business from day one:

Based in Gilbert, Arizona and delivered fully remotely. You keep your own QuickBooks Online subscription in your own name — your books are yours, and you can revoke access at any time.
Founding rate — first 3 clients: 20% off any monthly package for your first 6 months (Starter $239/mo, Core $439/mo, Plus $559/mo, CFO Partner $919/mo), then the standard price. Limited to the first three signed clients and closes November 30, 2026 — stated plainly because the practice is new, not as a permanent discount.
Annual billing — twelve months for the price of ten
Every package below can be prepaid annually at ten times the monthly rate: one invoice, twelve months of the same package, and your rate locked for the term. Monthly billing remains available on every package — the scope is identical either way; only the billing changes.
- Starter — $2,990/yr prepaid, or $299/mo ($598 less than twelve monthly payments)
- Core — $5,490/yr prepaid, or $549/mo ($1,098 less than twelve monthly payments)
- Plus — $6,990/yr prepaid, or $699/mo ($1,398 less than twelve monthly payments)
- CFO Partner — $11,490/yr prepaid, or $1,149/mo ($2,298 less than twelve monthly payments)
Founding-rate clients prepay at ten times their founding rate, locked for the full annual term: Starter $2,390/yr, Core $4,390/yr, Plus $5,590/yr, CFO Partner $9,190/yr. If an annual term is cancelled early, you are refunded for each full unused month, minus a one-month fee. Renewals are invoiced when the term ends — never auto-charged.

- $600 flat — chart of accounts built for your niche, bank feeds connected, opening balances entered
- $750 if it's a messy migration from another system or a spreadsheet pile
- $1,350 for two files — a clean $600 setup for one business plus a $750 messy migration for a second
- You get a short training walkthrough on uploading receipts and documents, so month one runs smoothly
- Running more than one entity, or want the whole build handled end to end? See White-Glove Setup below — $3,500 / $5,000
Premium setup — White-Glove
White-Glove Setup
For owners running more than one entity — or one business with real complexity behind it — who want the books built once, built properly, and then simply kept that way. A fixed-scope, fixed-price project: no hourly meter and no open-ended engagement. The structure for every entity is mapped in writing before anything is built.
- $3,500 — full migration into QuickBooks Online, a chart of accounts rebuilt from the ground up for each entity, bank feeds connected, opening balances verified, and catch-up configuration in place so the first month-end close runs clean
- $5,000 — everything in the $3,500 setup, plus 90 days of cleanup included: back months categorized and reconciled and the books brought fully current as part of the same project, not quoted separately
- Intercompany and shared-account activity mapped across entities, so each set of books stands on its own
- Delivered with the same short training walkthrough as standard setup, so month one runs smoothly
- Your QuickBooks Online stays in your own subscription under your own name — access is granted by you and revocable by you at any time
How it works
- A short discovery call (20–30 minutes)Your trade, entity type, how many accounts you have, how far behind the books are, and who does your taxes. This is how your package and cleanup quote are sized — fixed numbers, in writing, no hourly language.
- Engagement and kickoffYou sign a plain-language engagement letter and grant accountant access to your QuickBooks Online. Access is granted and revocable by you — this service never asks for, holds, or uses your bank credentials.
- Cleanup or setup first, if neededFeeds connected, back months categorized and reconciled, books brought current.
- The monthly close, on a calendarEvery month runs the same way (below). Reports land by the 10th business day, with a short delivery email covering what changed and what needs a decision from you.
- Year-end, handledBy January 31 you get a complete year-end package — full-year P&L and balance sheet, general ledger, reconciliation reports, and payroll summaries — ready to hand to your own CPA or tax preparer, who files your return.
The month-end close calendar
Every client, every month — the same checklist that powers the Vickery Finance Month-End Close template, run for you:
| When | What happens |
| Business days 1–3 | All bank feeds confirmed connected; any missing statements or documents chased with one short nudge. |
| Business days 3–6 | The month is categorized. Anything unclear goes to you as one batched questions list — never drip-fed a question at a time. |
| Business days 5–8 | Every account reconciled to its statement; old uncleared items cleared; the full month-end close checklist run end to end. |
| Business days 8–10 | P&L and balance sheet produced (CFO-lite report on Plus), filed to your folder, and delivered with 3–5 plain-English observations. |
| Quarterly | Core and Plus: a 30-minute review call — trends, cash pinch points ahead, and the questions list cleaned up. |
Email responses within 2 business days. That pace is deliberate and stated up front, so it never becomes a broken promise.
About the bookkeeper — stated honestly
Vickery Finance bookkeeping is run personally by Max Vickery of Gilbert, Arizona:
- B.S. in Accountancy, Arizona State University, W. P. Carey School of Business (March 2025)
- Night Auditor, Marriott International (2024–2026) — daily revenue reconciliation: every night's room, tax, and payment numbers tied out to the cent
- Accounting Intern, PwC (2022–2023)
- QuickBooks Online Certified ProAdvisor
- CPA candidate — not a CPA. That distinction matters, and it's stated here rather than blurred
The method isn't improvised, either. It's the documented Month-End Close system behind the Vickery Finance template catalog — 198 templates for exactly these trades, turned into a per-client checklist: same steps, same order, every client, every month.
One honest note: this is a new service, so this page carries no client testimonials and no results it hasn't earned yet. The offer is credentials, a real system, and a fair fixed price — and a practice kept deliberately small (a handful of clients, not dozens) so every close gets done properly.
What this service is — and isn't
- Bookkeeping only. Vickery Finance is not a CPA firm, and this service provides no audit, review, or compilation (attest) services of any kind. Reports are management reports prepared from your records.
- No tax preparation. This service does not prepare or file income tax returns. It keeps clean books all year and delivers a year-end package your own CPA or tax preparer files from.
- No payroll processing. Payrolls are run by your payroll provider; on Plus, the entries are entered and checked from its reports.
- Your money never moves through this service. Bills and payments are prepared and recorded — you approve and pay, always.
- No bank credentials, ever. Work happens through QuickBooks Online accountant access that you grant and can revoke, plus statements and documents you upload.
- No legal advice, investment advice, or personal financial planning.
Frequently asked questions
Do I need QuickBooks Online?
Yes — every package runs in QuickBooks Online, in your own subscription under your own name. If you don't have it yet, the setup service above gets you started cleanly.
I'm several months behind. Can I still start?
Yes — that's exactly what the cleanup service is for. It's quoted as a fixed project ($1,250 base for up to 3 months behind, +$300 per extra month, capped at $4,995) before your monthly package begins, so the two never blur together.
Will you file my taxes?
No. This is a bookkeeping service, not a tax preparation service, and Vickery Finance is not a CPA firm. What you get instead is a complete year-end package by January 31 that your own CPA or tax preparer can file from directly — which is usually the expensive, stressful part made easy.
How do we communicate?
Mostly by email, on a monthly rhythm: one batched questions list during the close, one delivery email with your reports and observations, and a review call quarterly (Core) or monthly (Plus). Email responses come within 2 business days.
Can I cancel?
After the initial 3-month term, either side can end the service with 30 days' notice. On the way out you get a final close through your last paid month and a complete handoff — your books stay in your QuickBooks, because they were always yours.
Can I prepay for a year?
Yes — any package can be prepaid annually at ten times the monthly rate, so you get twelve months for the price of ten. The scope is identical; only the billing changes. If you cancel an annual term early, you are refunded for each full unused month, minus a one-month fee, and you still get a final close and a complete handoff.
What does the founding rate require from me?
Nothing beyond being one of the first three signed clients. It's 20% off your package for 6 months, then the standard price. A testimonial may be asked for after a couple of good months — it's a request, never a condition of the discount.
Know Your Numbers — the monthly newsletter
A bookkeeping checklist, one metric explained, and a template of the month. Free to subscribe; paid tier $6/mo.
Prefer it done for you?
Tell me your trade, how many bank and card accounts you have, and roughly how far behind the books are. You'll get a fixed cleanup quote and a package recommendation in reply — no obligation, no hourly estimates.
